Dispatcher (Mandaue, Cebu)

- Receives approved Sales Order (SO) of ordered fuels from Order Coordinator thru Oracle and / or from emailed template of Daily Sales Order.

- Coordinates with Production Foreman the actual availability of fuel products on each corresponding source tank.

- Coordinates with Cost Accountant and verifies the availability and location and source of withdrawal of products from Oracle System.

- Prepares and issues pertinent loading and delivery documents to driver and loading man such as printed Delivery Receipt (DR) and Loading Ticket of all booked sales orders.

- Communicates and coordinates with LLND or Trucking personnel regarding scheduled deliveries.

- Coordinates with LLND or Trucking personnel to contact Hauler or Tank Truck Driver for the dispatch of fuel products.

- Verifies tank truck calibration certificates for pick-up orders and SEAOIL security seals to inspecting guard and seals compartment manholes and discharge valves prior to truck dispatching of delivery.

- Performs ocular inspection of products for delivery - (check color, volume accuracy, and contaminants on fuel delivery).

- Coordinates with Reseller Group’s assigned Business Development Officer (BDO) and customers
regarding product delivery status.

- Responsible for the monitoring of return of delivery receipts from the assigned company Haulers and ensures that there are no missing documents.

- Ship confirms all dispatched Fuel deliveries to Oracle System.

- Schedules and generates Auto Sales Invoicing of all dispatched and delivered Fuel Products in
Oracle System.

- Keeps Dispatching records such as file copy of Delivery Receipt and Certificate of Inspection of all dispatched products.

- Makes proper turnover report to incoming dispatcher after his/her tour of duty.

- Monitors dispatching supplies and materials such as Delivery Receipts forms, Security Seals, etc.

- Responsible and must be able to work cross-functionally with other departments to resolve issues
that cause delays in dispatching and delivery of fuel products.

- Maintains a positive work atmosphere by behaving and communicating in a professional manner with co-workers and customers.

- Adheres to plant / depot regulations, CCOD Internal procedures and manual.

- Assists the Logistics division by performing functions pertinent to the operations as required or needed (i.e. loading and receiving trucks/ vessels)

- Completes special projects and performs duties as assigned by the CCOD Head

Requirements:
- Must be a college graduate
- Computer literate with knowledge in MS Office
- Must be “polyphasic” or with the ability to do several things at once without getting confused
- Must be organized and can effectively deal with people
- Has the ability to demonstrate and handle assignments competently
- Must be detail-oriented and trustworthy
- Must work well under pressure and be able to respond to emergencies quickly and efficiently
- Willing to be assigned on shifting schedules and when work is particularly heavy, may be expected to put in an extra hours
