BASIC EDUCATION OFFICE SECRETARY (CEBU)

Location: CIE Cebu

Position Requirements:
Female 22-30 years old
Single (preferred, but not required)
Willing to work long hours
Willing to take on teaching load / class substitutions

Education and Experience
Degree holder of either of the following or related fields: Psychology, Education, English, Mass Communications, Business Administration.
At least one (1) year of relevant teaching experience, an advantage.
LET passer, an advantage.
Possesses knowledge and experience of relevant software applications - spreadsheets, word processing, and database management.
Possesses knowledge of administrative and clerical procedures.

Reports to:
Assistant Vice President of Basic Education Systems / School Superintendent

Key Results Areas / Responsibilities:
Perform general clerical duties such as but not limited to: tying, filing, copying, faxing, mailing, and bookkeeping.
Acts as a liaison for internal (teachers / staff) and external (parents / students) clients.
Assists Superintendent in organizing and coordinating meetings and various school or department activities / events.
Track important event dates, meetings, and appointments.
Create, transcribe, and distribute meeting agendas and minutes.
Answer phone calls and give information to callers, take messages, or transfer calls to appropriate individuals / departments.
Compose, type, and distribute meeting notes, routine correspondence, and reports.
Greet visitors and callers, address their inquiries, and direct them to the appropriate persons / department according to their needs.
Route, and distribute incoming mail and other materials.
Answer routine correspondence as needed.
Manage accounts and track the unit’s budget for important transactions with, but not limited to: suppliers for materials / uniforms.
Researches cost and facilitate office requisition and maintenance of office materials.
Arrange work orders for the repair and maintenance of office equipment.
Manage department / company forms.
Conduct research, collect data, and prepare reports for the evaluation of the School Superintendent, Headmasters or Instructional Supervisors.
Make travel arrangements as needed.
Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
Handle basic Arts and Crafts class or acts as a substitute teacher as necessary.
Provides support to other departments for important project-based work.
Performs other duties as assigned by the AVP for Basic Education / Superintendent.

Work Schedule
Monday – Saturday (8:00 AM – 5:00 PM)

Working Conditions
Work may require weekend and/or evening work.
